1. Introduction

The purpose of this policy and procedure is to ensure that there is a system in place that ensure that any refunds or refund requests are dealt with fairness and lawfully.

2. Policy Statement
    • MAHMUDSABIR MASJID & ALFURQAN RELIEF TRUST will ensure that people (‘customers’) who book a place on any of our course/trip/activity for themselves, their children or someone else are given the statutory right to refund when a course/trip/activity is not fit for the purpose it was intended or has been mis-described. 
    • This statutory right does not apply when customers who have changed their minds.
    • We will accept reasonable requests for a refund due to genuine unexpected circumstances/sickness etc preventing a booked place to be used. However, we will request the customers to consider donating their booked place to someone else who may use that before asking us for a refund.
    • We may apply a surcharge for any cancelled course, trip, or activity to cover statutory expenses such as banking fees and card transaction processing fees.
3. Review

MAHMUDSABIR MASJID & AL FURQAN RELIEF TRUST will assess the effectiveness of the refund policy two-yearly and review any feedback, comments or complaints.

4. Scope

This policy and procedure cover all employees / volunteers who work within the MAHMUDSABIR MASJID & ALFURQAN RELIEF TRUST.

5. Responsibility

The Chair of Trustees will have overall responsibility for the ensuring that this policy and procedure are implemented throughout the organisation. Course or trip organisers are responsible for ensuring that the customers’ requests for a refund are dealt with fairness and sympathy. They are also responsible for informing the Chair of Trustees or the Treasurer about any complaints that occur.

6. Impact Analysis Statement

All policies require an impact analysis to take place. This is to assess whether the policy or procedure disproportionately impacts on any individuals or groups in respect of their protected characteristics as defined within The Equality Act 2010. 

This policy has been analysed to determine any disproportionate impact and is considered to have low impact in this regard.

7. Roles and Responsibilities

Chair of Trustees

The Chair of Trustees has overall responsibility for ensuring that this policy and procedure is implemented throughout the organisation.

Trip/course/activity Organisers

Are expected to follow this policy.

  
8. Consultation and Review Process

The policy has been reviewed by the Board of Trustees of MAHMUDSABIR MASJID & ALFURQAN RELIEF TRUST.

9. Compliance

The minimum expectation is that all employees and volunteers of MAHMUDSABIR MASJID & ALFURQAN RELIEF TRUST will comply with this policy.
